Privacy Policy

This Privacy Policy explains what information Civian collects, how it is used, and what choices you have when you use our AI-powered resume builder and career tools.

Last updated: August 5, 2026

1. Information we collect

We collect information you provide directly, such as your name, email address, authentication data from Google or GitHub, professional experience, education, resume content, portfolio details, and other information you upload to build and manage documents.

We also collect limited technical information such as device information, browser type, IP address, operating system, session activity, and usage analytics to secure and improve the service.

2. How we use your data

We use your information to provide account access, generate drafts and recommendations, save your resume workspace, deliver subscription features, communicate important updates, and improve our service quality. We may also use anonymous, aggregated usage data to understand product performance and product trends.

3. AI processing

When you submit resume text, work history, skills, or related prompts, we process that content to generate assisted outputs such as rewritten resumes, suggestions, or tailored content. We rely on this data only for the purpose of providing the requested service to your account and maintaining the integrity of the platform.

4. Third-party providers

Civian may use trusted service providers to support hosting, authentication, analytics, billing, and communication services. These providers may process limited account or technical data under their own privacy terms. We also rely on Google and GitHub sign-in services for account authentication.

5. Payment and billing

If you subscribe, we may collect billing details through our payment processor. We do not store full payment card details on our systems. Billing information is used only to manage subscriptions, process invoices, and handle account-related billing communications.

6. Data retention

We retain your account and document data as long as your account remains active or as needed to provide the service, comply with applicable law, resolve disputes, and enforce our agreements. You may request that your account be deleted through the product experience or by contacting us, subject to any legal retention obligations.

7. Security

We implement reasonable administrative, technical, and organizational safeguards to protect your information. However, no system is completely secure, and you should keep your login credentials secure and avoid sharing confidential information unnecessarily.

8. Your rights

Depending on your jurisdiction, you may have rights to access, correct, export, or delete personal information associated with your account. You may also object to or limit certain uses of your data where applicable. If you would like to exercise those rights, you can use the product settings or contact the support team.

9. Cookies and tracking

We may use cookies and similar technologies to keep you signed in, remember preferences, support security, and understand product usage. You can control cookies through your browser settings, though some product functionality may be limited if cookies are disabled.

10. Changes to this policy

We may update this Privacy Policy to reflect new features, product changes, or legal requirements. Material changes will be communicated through the service and the updated policy will carry a revised effective date.
